16.00 DoubleTime 1099-S Year End Maintenance and IRS Electronic Filing Instructions

A complete reference guide to assist you in the multi-stop process of requesting a TCC number, creating an IRS FIRE System account, preparing your 1099-S forms and electronic data file in DoubleTime and electronically filing the records through the IRS FIRE System.


16.01 How do I create a 1099 record for my file in DoubleTime?

  1. Once you have entered the majority of the closing information into the various modules of DoubleTime, you can then create the 1099. To generate a 1099 in DoubleTime, you will click on the 1099 button in the primary row of buttons (1st tool bar). This will bring you to the 1099 module listing the 1099s in a single line summary display. To view the 1099 record, click the 1099 button on the secondary row of buttons (2nd tool bar). Once all the information has been entered, click the Save button. This record will now be a part of the Year End Maintenance Report to the IRS.

16.02 How do I add a second 1099 record for my two sellers?

  1. From the 1099 module, click the insert icon on the secondary row of buttons (2nd tool bar). The new record window is displayed; click the drop down arrow for the seller field to select your second seller and then click ok. The second 1099 record is immediately displayed. You can now modify any information needed for your second 1099 record. Once all of the information is entered, click the view record button on the secondary row of buttons (2nd tool bar) to go back to your list of 1099 records.

16.03 How do I view a 1099 record in DoubleTime without having to close and reopen the 1099 module?

  1. Once the 1099 form is displayed, click the view record button (Think of this as your ‘toggle’ button.) on the secondary row of buttons (2nd tool bar). This will bring you back to the single line summary display of 1099s without closing the 1099 module.

16.04 How do I print the 1099 with the legal description?

  1. Once the 1099 is displayed, you have the option to print the 1099 either with the property address or the legal description. To print the 1099 with the legal description, you will click the Use Legal button in the secondary row of buttons (2nd tool bar). This now displays the legal description.

16.05 How do I split the proceeds equally?

  1. From the 1099 module, highlight the first 1099 record in the single line summary view.
  2. Then click the view record button to display the 1099 record. This will display the record, you can now change the gross proceeds to the amounts needed for this seller.
  3. Once this is complete, click the view record button on the secondary row of buttons (2nd tool bar). This will bring you back to the single line summary view to select the next 1099 record.
  4. Click the view record button again to display the second 1099 record. You can now make your changes to the gross proceeds.
  5. Once all information is entered, click the save button to save your changes.

16.06 How do I save a 1099 record to my computer?

  1. Once the 1099 form is displayed, click the File and select the Save As option. The Save As window appears.
  2. You can now select the type of 1099 (Copy B or Copy C) you wish to save to your computer and click ok.
  3. The Save Document Image window now appears and you can now select the location to save your 1099 document to your computer.

16.07 How do I delete an unwanted or duplicate 1099 record from DoubleTime?

  1. From the 1099 module, highlight the 1099 record in the single line summary view that you want to delete.
  2. Click the delete icon located on the secondary row of buttons (2nd tool bar). This record is now deleted from the 1099 module.

16.08 When I click on the red exclamation point, why is there nothing for me to correct?

  1. When an exclamation point is displayed in the first column it is an alert that data is missing from the record. Please view the 1099 record to ensure all data has been entered.
  2. Click the exclamation point and click the ok button. This should remove the exclamation point.

16.09 Why do I have a red exclamation point next to all of my 1099 records?

  1. When an exclamation point is displayed in the first column it is an alert that data is missing from the record. Please view the 1099 record to ensure all data has been entered.

16.11 How do I get a TCC number?

If you will be sending your 1099-S records electronically to the IRS, you are required to receive a Transmission Control Code (TCC) number. This number can be obtained by submitting an IRS-Form 4419. The form can be acquired from www.IRS.gov. You can either return the form by mail to the Internal Revenue Service, Information Returns Branch, 230 Murall Drive, Kearneysville, West Virginia 25430 or by faxing the form to 877-477-0572.

16.14 Where do I enter my TCC number in DoubleTime?

  1. Once you have received a TCC number from the IRS, you are responsible for entering the TCC number into DoubleTime.
  2. Click Preferences menu and then Office settings.
  3. When the office settings menu appears, you will select the Office tab.
  4. In the Office tab, you will see a field that says TCC number. You will enter your number in the field. This is a one-time entry into Double Time and your office will continue to use this number from year to year.
